Faculty Reserves Preparation:
Guidelines for High Quality Digital Reserves
In order to provide high quality digital reserves and to effeciently process scan requests, please follow these guidelines:
- Provide clean, sharp, single-sided copies of the material.
- Use 8 ½ x 11-inch paper, with a ½ inch margin on all sides.
- Include the date the reserve item is needed. This will help staff to prioritize during high production times.
- Allow sufficient time for processing.
- Avoid documents with staples or with ragged edges as they may jam the scanner.
- Second-generation copies, or those which are faded or printed with colored ink will not reproduce well. Handwritten notes or answer keys should be legible and be written in dark ink, not pencil.
- Copies that have been underlined or highlighted will not reproduce well. The highlighting will turn black, rendering such sections unreadable.
- Try to eliminate black margins and gutters on photocopies - these marks darken once the document is scanned, rendering adjacent text unreadable, and toner is wasted when the document is printed.
- Do not print articles that are already accessible on the Web or via the library's databases to be re-scanned; since they are already digital, simply provide the URL and link to the material in course reserve.
Please note:
Scanning will not improve the look or legibility of any document. Remember -- the better the original, the better the scan.
